We collect personal data through the following channels:

• Contact forms and telephone calls
• Erasmus+ course applications (organisation, invoice address, names and emails of participants and the contact person)
• Anonymous statistics of visits to the /erasmus pages (see below)
• Anonymised IP, behavioural data, device and browser (Google Analytics 4) – only with your explicit consent

• Issuing invoices
• Communication about applications and complaints
• Analysing website traffic for improvements (Google Analytics)
• Running Erasmus+ courses: handling applications, invoicing, certificates of attendance and course evaluation
• Meeting legal obligations

When you apply for an Erasmus+ course through the application form, we process the data you enter so that we can handle your application and run the course:

• Organisation: name, address, country, VAT ID and Erasmus+ OID/PIC (for the invoice and grant documentation).
• Contact person: name, email address and telephone number.
• Participants: name, email address and role, and whether they attended (needed for the certificate of attendance).
• Your notes and any special needs you tell us about, used only to prepare the venue and the programme.
• Marketing source of the application (for example the page or campaign that brought you to us), stored together with the application.

Legal basis: performance of a contract and steps taken before entering into it (Art. 6(1)(b) GDPR), legal obligations such as invoicing and accounting (Art. 6(1)(c)), and our legitimate interest in improving the course (Art. 6(1)(f)). By submitting the form you confirm you have read this policy and our fee and cancellation terms. Where you give us the details of colleagues, please make sure they know their data is passed to us.

Retention: we keep application and invoice data for as long as needed to run the course and as long as Slovenian accounting and tax law requires us to keep invoices and related records. Other data is deleted when it is no longer needed for the purpose it was collected for.

Funding bodies: we do not send your data to National Agencies or the European Commission. Your organisation submits its own grant application and may share our invoice or certificate with its National Agency.

To see how the Erasmus+ pages are used, we count visits without tracking cookies and without storing IP addresses:

• The IP address is not stored. It is used in memory only to estimate a rough location (country and city) with a local database; nothing is sent to third parties.
• We store a hashed session identifier (it cannot be traced back to you), the source of the visit (referrer or campaign tag), the pages and sections you open (for example the fee tab or the add-to-calendar button) and the estimated country and city.
• Crawlers and logged-in administrators are not counted.
• Legal basis: our legitimate interest in understanding demand for the courses (Art. 6(1)(f) GDPR). You can object by writing to info@robotech.si.

We do not sell personal data to third parties. We share data only where it is necessary to provide the service or required by law:

• Google LLC (USA) – Google Analytics 4; with your consent, visit data is transferred to the USA under Standard Contractual Clauses (Art. 46(2)(c) GDPR). Data processing terms: business.safety.google/gdprprocessorterms.
• Email delivery provider – used to send confirmations, invoices and certificates to the addresses you give us.

Bookings for Slovenian-language workshops, camps, events and teacher workshops, and the related online card payments, take place on robotech-events.si. That website has its own privacy policy (in Slovenian). This policy applies to robotech.si, including the Erasmus+ course pages.
